Role Overview: We are seeking a detail-oriented and proactive Junior Administrative Assistant to support our sales team. This role is instrumental in ensuring the efficient operation of our sales processes, with a primary focus on administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for delivering exceptional service to clients and candidates alike.

Responsibilities:
- Manage the seamless uploading of candidate resumes and profiles to various online platforms, ensuring accurate and compelling representations that highlight their qualifications and experiences.
- Facilitate extensive email communication with clients and candidates, providing timely responses, scheduling interviews, and maintaining ongoing correspondence to nurture relationships.
- Craft engaging and informative job advertisements tailored to specific client requirements, showcasing the unique opportunities available and attracting top talent.
- Act as the initial point of contact for incoming phone calls, promptly addressing inquiries, directing calls to the appropriate team members, and providing excellent customer service.
- Develop and maintain tracking spreadsheets for individual clients, meticulously documenting key interactions, candidate submissions, and recruitment progress to ensure transparency and accountability.
- Collaborate closely with contractors and external partners on certain topics, such as candidate assessments, background checks, and reference verifications, to streamline processes and uphold quality standards. - Support the sales team in administrative tasks related to client management, including calendar management, scheduling meetings, and preparing materials for presentations and client meetings.
- Assist in the organization and execution of recruitment events, webinars, and networking sessions, coordinating logistics, managing RSVPs, and following up with attendees.
- Conduct research and gather market intelligence to identify emerging trends, competitive insights, and potential business opportunities, contributing to strategic decision-making.
- Maintain confidentiality and discretion when handling sensitive information, adhering to company policies and legal requirements.

Qualifications:
- High school diploma or equivalent; additional education or training in business administration, or related fields is advantageous.
- Initial experience in administrative roles, preferably within a sales or recruitment environment, with a strong emphasis on attention to detail and accuracy.
- Proficiency in email communication and client relationship management, with the ability to navigate multiple platforms and prioritize competing demands.
- Excellent written and verbal communication skills, with the capacity to craft compelling job advertisements and communicate effectively with diverse stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software and online job boards would be highly beneficial
- Ability to multitask, prioritize tasks effectively, and meet deadlines in a fast-paced and dynamic work environment.
- Strong organizational and time management skills, with a proactive approach to problem-solving and a willingness to take initiative.
- Collaborative mindset and the ability to work effectively both independently and as part of a team, fostering a positive and supportive work culture.
